What is franchise management software?
Franchise management software is a system that runs the operational lifecycle of a franchise network in one place: recruiting and signing franchisees, opening locations, training staff, monitoring brand standards, supporting operators, and collecting royalties. Franchisors typically assemble this from five or six separate tools. A franchise management system replaces that stack with one connected layer and one data model.
What is HolaTeams, in one sentence?
HolaTeams is franchise management software built on Microsoft 365 — it turns the Microsoft 365 you already own into one system running your franchise lifecycle from first lead through onboarding, training, standards, and support to royalty collection.
Is this just SharePoint with a logo on it?
No, and it’s a fair question.
SharePoint gives you folders. HolaTeams gives you a franchise operating system: a full set of franchise modules built on a pre-built franchise data model covering entities, locations, franchisees, regions, territories, leases, and agreements. It ships with an automated royalty engine running sales report to invoice to P&L, a 4-step onboarding wizard that generates its own checklists, compliance scoring, a support desk, and a training platform.
That’s a productized operating model, not a configuration service. Building the equivalent in house would occupy a capable internal team for twelve to eighteen months. We’re the product. Your tenant is where it runs.
Which modules are included?
The prospect portal, CRM and franchise sales, onboarding and location launch, training, support hub, data admin, marketing, assessments, royalty and finance, The Center communications hub, the platform home dashboard, multi-language, and settings and administration. Which are active for you depends on your tier and scope, which we map on the call.
What does HolaTeams not do yet?
Worth knowing before a demo rather than during one.
There's no native mobile application — the platform is responsive in the browser and works on a phone, but it isn't in an app store. HR and staff management is not a module. Inventory management is not a module. POS integration is scoped to your provider rather than universal automatic capture. ACH and card auto-collection via Stripe or Worldpay is a scoped add-on rather than a default. The training module handles courses, lessons, exams, certification tracking and completion reporting, and isn't positioned as a full enterprise LMS.
Does HolaTeams use AI?
Yes, in five places, and only where there’s an outcome attached.
AI-powered dashboards and reports in the CRM, in assessments, and in data admin surface trends without someone building a report first. AI-powered support queries in the Support Hub find an existing answer before a ticket gets raised. An AI financial analysis assistant lets finance query network numbers in plain language. These run on Azure OpenAI, connected only where you enable it.

What if we’re not on Microsoft 365?
Then we’re probably not your fit yet, and we’d rather say so now.
HolaTeams is built natively on Microsoft 365. The franchisor’s corporate team needs to be on it, or moving to it, for the model to work at all.
Individual franchisees are a separate question. A franchisee running their own business on Google Workspace or anything else joins as a guest user and reaches training, support, finance for their location, and network communications with no migration on their end. Corporate on Microsoft 365 with franchisees on whatever they use is a completely normal setup.
Where does our data actually live?
In your own Microsoft 365 tenant. SharePoint Online holds the data, the interface runs as SPFx inside your SharePoint, Power Automate drives the workflows, and it integrates with your Teams and Dynamics.
To be precise rather than absolute: HolaTeams maintains an outbound connection for license validation, which carries no operational data. Optional services connect only if you enable them — Azure OpenAI, Stripe, e-signature, and Shopify. Your franchise operational data resides in your tenant.
What about security and compliance?
The platform runs inside Microsoft 365 enterprise security, including MFA and role-based access control, administered by your own IT team. All data changes, user actions and system events are logged and available for audit review. The architecture is designed to support GDPR obligations through data residency, role-based access, and audit logging, and availability is aligned with Microsoft's published 99.9% service level.
Two things we won’t claim. We don’t hold SOC 2 or ISO 27001 certification. And HolaTeams stores and organizes your compliance documentation — it does not certify or guarantee your compliance with any regulatory or franchise-legal obligation.

What does implementation involve?
Typically six to eight weeks of guided setup, subject to scope and prerequisites, then a pilot.
Our Customer Care team does the build: SPFx deployment, Power Automate flows, user and role creation, guest user setup, Dynamics sync where in scope, master data seeding, and quality checks. Your IT handles Microsoft 365 readiness — active tenant services, valid licenses, MFA enabled, guest collaboration and external sharing enabled, and a Global Admin account for setup that's revoked immediately afterward.
It's low disruption rather than zero effort, and we'd rather describe it that way. The platform goes live loaded with default master data so it's usable from day one. Migrating your historical data is a separate project, and field mapping and data quality sit on your side.
Can we start small?
Yes, and most networks should. Start with around five stores, run it properly, and decide from there. Because the data lives in your own tenant, walking away leaves you more organized than you started rather than trapped in an export process.

Does HolaTeams support international and multi-brand franchise groups?
Yes. Multi-brand management is built into Data Admin for groups running more than one concept, regions and territories are first-class records, the interface supports 100+ languages, and pricing is per location across several countries. Master franchise and area developer structures are supported through multi-unit development schedules and entity-level modelling.
Who should not buy HolaTeams?
Four honest disqualifiers.
You're not on Microsoft 365 and won't move to it. You need a native mobile application today. You need automatic POS sales ingestion or ACH direct debit collection today. Or your procurement process requires years of published customer references before any purchase, in which case we're too early for you.
You’re early stage. Why take the risk?
It’s the right question, and the answer is architectural rather than reassuring words.
Your data lives in your own Microsoft 365 tenant, not ours. That's the single most important thing about buying from an early-stage vendor, because the usual downside of that bet — being locked into a young company's platform — doesn't apply the same way.
Start with a five-store pilot. If it doesn't work, you stop, and your data is still sitting in your SharePoint where it always was.
